This position is perfect for a highly motivated and energetic individual who thrives on goal oriented work with a passion for the arts. Reporting to the Group Sales Manager this position will provide support to the busy Group Sales Department and its staff. Duties will include answering a heavy volume of incoming phone and email inquiries, creating accounts, fulfilling and invoicing orders and assisting with payment processing and ticket distribution. The Group Sales Assistant will also head up outbound calling and mailing projects, database management, lead research, and other general administrative tasks as needed.
Receive and respond to all incoming group sales calls and emails including our generic hotlines
Process all group invoices
Respond to general customer service inquiries
Track deposits and payments for existing group purchases
Prepare weekly group sales reports
Process final ticketing reports and prepare group sales back up for show settlements
Create and maintain all group manager and passcode accounts
Prepare/proof pricing sheets
Outreach to clients to upsell and promote new shows and seasons
Facilitate and report on potential new client research
Provide back up to the group sales assistant
Print and mail group, eclub and additional sub tickets and track postage
Package set up and coordination of mail outs.
Other tasks as assigned.
Proficiency in MS Office including Outlook, Word and Excel required. Ability to learn a complex ticketing system with training provided.
Must have superior customer service and organizational skills, outgoing personality and pleasant phone manner, and the ability to operate under minimal supervision on day to day tasks.
Must be able to thrive in a fast-paced team-orientated environment and remain calm under pressure.
Experience in box office or group sales/ ticketing is preferred but not required.
