SUMMARY: Under direction of the Director of Event Services, this position will perform all tasks necessary in the coordination of Colorado Springs Philharmonic Orchestra, Colorado College Men’s Ice Hockey Games, arena & theater touring concerts, sporting events, Broadway theatrical performances, community theater events & performances, tradeshows, etc. The Event Services Coordinator/Video Production will hire, train and supervise the Scoreboard and Video Production staff. They will deploy and produce graphics and video marketing materials. This person will also perform all tasks necessary in the coordination of certain Broadmoor World Arena and Pikes Peak Center events that require production.
DUTIES AND RESPONSIBILITIES: •Under Direction of the Director of Event Services, determine staffing needs and hire, train, schedule, and supervise the video and scoreboard production staff. •Formulating graphics and videos for events using the Scoreboard system. Creating promotional video loops using pre-produced marketing videos and graphics. •Liaison between Video/Scoreboard Production staff and the Facilities staff where equipment, facility or I.T. needs are concerned •Liaison between Video/Scoreboard Production staff and the Marketing Department where creative design, graphics, video and marketing media support are required. •Develop and implement the Video and Scoreboard staff Annual Part Time Staff Training Meeting. •Operate Scoreboard, Video and Marquee equipment as a backup to designated graphics or video staff. •Plan, coordinate and execute assigned events at The Broadmoor World Arena and Pikes Peak Center for the Performing Arts. •Plan, coordinate and execute assigned events at The Broadmoor World Arena and Pikes Peak Center for the Performing Arts. •Operate as the main point of contact and coordinator for venue “tenants” including Colorado College Hockey, Colorado Springs Philharmonic, Children’s Chorale and The Broadmoor Skating Club among others •Communicate with event promoters, event managers, and production managers throughout all stages of events; from pre event planning throughout event execution and settlement, coordinate the requirements of each event based on the client contracts and production riders •Coordinate with and direct when needed operations, changeover, housekeeping, box office, catering, marketing, and technical services to insure that logistical details of each event are being delivered •Oversee and direct when needed external contract equipment and labor including but not limited to audio, lighting, backline, heavy equipment, vehicles, gases, décor, etc. and ensure timely delivery and set up •Serve as a facility representative at events; facilitate pre and post-event walk through to assess facility condition; enforce facility policies and procedures throughout each event; identify and resolve event challenges; resolve public complaints •Schedule in-house and 3rd party contracted stagehands for assigned events •Supervise back of house operations and staff including stagehands, security and conversion crew during assigned events •Supervise and assist Front-of-House Guest Service staffing and assure that it is adjusted to balance customer service, safety and security to meet the financial needs of the event •Manage event budgets and complete settlement documents for each event •Communicate event requirements for the scoreboard, auxiliary boards, marquee and video equipment •Prepare written details and requirements for each event; prepare floor plans and ensure compliance with applicable fire, building, and safety codes; communicate changes before and during events •Collect and prepare settlements including labor, in-house and rental equipment etc. •Provide excellent customer service to a wide variety of customers - internal and external •Performs all other duties and responsibilities as assigned WORK ENVIRONMENT: •Long hours during events •Variable Schedule – Days, Weekends, Nights, Holidays •Most of the time moderate noise levels associated with office setting •Occasional loud noise level when working a concert/or louder events
QUALIFICATIONS: • Must have strong customer service skills • Ability to meet deadlines and work effectively under stressful conditions • Proficient in Word, Excel, Outlook and CAD programs • Ability to lift 50lbs EDUCATION REQUIREMENTS: • 4-year bachelor’s degree from an accredited institution in Event Management, Theater Management, Business Management or other related field is preferred • A minimum of 2 years’ experience managing events in a theater or arena • 2-3 years successful supervisory experience • Additional years of experience may be substituted for formal education • Experience with technical theater equipment (lighting & audio) • Experience in Television engineering, coordination or an equivalent field. • Relevant experience in the operation, service and maintenance of video production/playback equipment, large screen video boards (CRT and LED), matrix displays, video walls, and CCTV systems. • Experience operating in a digital/component world as well as analog environment with the ability to integrate these systems. • Experience with Adobe Photoshop and video production software preferred. • Experience with video production and coordination is preferred
PHYSICAL/MENTAL REQUIREMENTS: While performing the duties of this job, the employee is frequently required to do the following: • Prolonged standing and walking • Use of hands to finger/handle; Use of arms to reach; climb stoop kneel crouch or crawl • This position requires ability to see and read names from lists, diagrams, computer work and colored schematics for event set-ups. (close vision, distance vision, and color vision) • Ability to read and interpret documents such as written correspondence, safety rules, diagrams and procedure manuals. • Ability to write routine reports and correspondence. • Ability to speak effectively before groups of clients or members of organization. • Ability to calculate figures and amounts such as settlements hours/dollars member payments, portions, and percentages. Ability to apply concepts of basic mathematics • Ability to solve practical problems and deal with unique client related situations or staffing issues • Strong interpersonal skills • Lift and carry up to 50 pounds. • Coordinate multiple tasks simultaneously • Ability to work under pressure

The Broadmoor World Arena located in Colorado Springs, Colorado is an 8,000 seat multi-purpose arena and entertainment venue. In addition to the main arena, the adjacent Ice Hall contains two practice rinks, one NHL-sized and one Olympic-sized. The World Arena also manages the Pikes Peak Center for the Performing Arts, located in downtown Colorado Springs.
