Position Summary: Full time position that is responsible for directing the daily operations of the Emerging Technology Complex (ETC) which is comprised of the Conference & Education Center and the Industrial Training Center. The Director of Operations oversees the planning, coordination, and execution of meetings, conferences, and other special events. The Director of Operations also provides guidance to the Leo J. Welder Center for the Performing Arts and the Museum of the Coastal Bend in the absence of the Executive Director of Cultural Affairs.
Duties & Responsibilities - Duties include, but are not limited to the following: Operate the ETC to meet client needs and achieve financial and business plan goals; Oversee daily operations and maintenance needs of the ETC; Spearhead website and social media efforts in concert with Executive Director and other staff; Manage the servicing of conference and meeting functions, including but not limited to proposal development, event scheduling, contract negotiations, room reservations, room setup, audio-visual requirements and catering needs of the client; Supervise administrative staff in servicing of billing and payments, event management system, and inventory system; Confer with clients and vendors in pre-planning and execution of meetings; Work with the Executive Director to develop innovative and efficient business solutions and strategies to differentiate the ETC from other meeting venues; Maintain the ETC's Operations Manual to ensure quality, consistent service to clients; assist in development of event and facility policies and procedures, and communicate those to appropriate staff and facility residents; Serve as a visible representative of the ETC to ensure compliance and satisfaction of clients; Ensure there is appropriate staff, including on-site staff and main campus staff (i.e. custodial, security, physical plant); Ensure adequate staffing for every meeting/event to ensure client needs and expectations are met and to achieve high levels of quality client services and client satisfaction; Diagrams, schedules, and performs (when necessary) set-up/tear down of meeting rooms according to client specification and facility standards; Coordinate with instructional programs (credit and non-credit) to ensure event scheduling of conference clients and facility maintenance activities do not interfere with student instruction; Promote use of the ETC for both corporate meetings/conferences and customized contract training opportunities; Work with the Executive Director to hire, train and supervise full and part-time staff, including student workers; Evaluate events and services provided to clients and determine areas for continuous improvement; Understand and operate basic facility AV in absence of IT staff; Monitor events to facilitate operations and respond to emergencies/problems; Directly supervise administrative staff; Actively promote and maintain professional working relationships with other operating areas and personnel; Lead weekly planning meetings, adequately communicating group needs internally to key staff to ensure excellent service. Ensure that staff is informed of all details relating to each meeting; advise staff of any changes occurring before and during scheduled meetings; Attend training and maintain certifications for food handlers, crowd management and other certification training as requested; Other duties as required. Understands that hours of operation for the ETC, Welder Center, and Museum of the Coastal Bend differ from Victoria College's main campus and academic calendar and complies with these hours of operations as driven by client need and event schedules.
Qualifications REQUIRED QUALIFICATIONS
Bachelor's degree required or equivalent years of experience in lieu of degree Five years work-related experience including excellent customer skills and effective organizational skills Ability to prepare highly accurate and detailed diagrams within a multi-tasking work environment Familiarity with technical resources equipment and their safe operation; Willingness to work a flexible work schedule that includes nights and weekends based on customer need and event schedule
Physical Demands While performing the duties of this job, the employee is regularly required to use hands and fingers to handle controls, key pads, etc. Will be required to sit and reach with hands and arms as well as, sit, stand and walk. Will be required to push and pull as part of event set up. Must frequently lift and/or move up to 50 pounds while loading office supplies, paper and event set up equipment. Must be able to perform physical tasks such as those listed above from an elevated position (Ladder, lift, etc.). Specific vision abilities required include close vision, some color vision, and the ability to adjust focus from documents to computer screen. Hearing of light to moderate sound is required by this job. The noise level in the work environment is usually moderate.
Additional Salary Information: Pay for this position includes an event venue stipend above position salary.
About Victoria College Emerging Technology Complex
Victoria College is a community college located in Victoria, TX. Operating under the College Advancement & External Affairs Division, the Cultural Affairs department manages two event venues -- the Emerging Technology Complex which houses the Conference & Education Center and the Industrial Training Center, and the Leo J. Welder Center for the Performing Arts. The Museum of the Coastal Bend, a heritage museum, is also part of the department. College activities and community events are held at each of these venues. The three venues are managed collaboratively, sharing resources and specialized expertise to meet event and production needs as required.
