Oilers Entertainment Group (OEG) delivers leading sports, entertainment and other special events programming to fans and patrons in Canada and the United States. OEG owns the 5-time Stanley Cup Champion Edmonton Oilers, the WHL’s Edmonton Oil Kings, the AHL’s Bakersfield Condors, and operates Rogers Place, the new home of the Oilers and Oil Kings in downtown Edmonton.
Reporting to the Director of Event Operations, the Manager of Events is responsible for producing events from concept to completion – involving strategy, management and oversight of all details for a diverse range of events with core assignments focused on Oilers and Oil Kings hockey games and special events.
Core Responsibilities and Duties
Manage the planning and executing of Oilers and Oil Kings brand games and events
Provide day to day direct supervision, direction, coaching and mentorship to two full-time Event Coordinators and the part-time Activation team
Serve as an Incident Commander in Event Command for hockey games and other assigned events
Update and maintain administrative documents including: event manifests, event detail sheets, contact lists and all other event documentation required
Lead game day production meetings in conjunction with the Event Presentation team
Manage event programming budgets as required
Coordinate all Hockey Operations movements required for concert days and other special events and distribute information to stakeholders in a timely manner
Develop, update and maintain the Rogers Place roles and responsibility matrix and post-game action report for Oilers and Oil Kings events
Assist with the development and maintenance of standard operating procedures related to event execution and venue operations for both brands
Invite and initiate opportunities to lead event and venue operations ideation for new and existing Oilers and Oil Kings events
Responsible for all aspects of planning, scheduling, budgeting and execution of assigned events outside of Oilers & Oil Kings hockey games
Provides full cycle management of assigned events, including coordinating with all internal departments and external stakeholders, communication strategies, preparing and distributing event manifests, event detail summaries and post event reports within expected timelines.
Research, review and recommend equipment, materials, signage, and supplies required for event services and negotiate supplier and vendor contracts
Manage execution of outside service contracts for applicable areas relating to events including Production Labor services, Security, First Aid, and Parking
Lead event meetings to communicate and delegate event specifics to all affected departments and stakeholders
Work closely with conversions and other departments to build a master schedule and work orders to coordinate the logistical and on-site coordination of set-up, move in-out and supervision of events
Develop relationships with other venues to prepare for events, discuss best practices and share information post event
Assist with coordinating catering and other food service requirements
Serves as the primary contact for clients to assist with the development and conceptualization of events to include:
Build and nurture relationships with clients and their respective stakeholders
Meet with clients as required to provide information regarding venue requirements and assets
Negotiate sales of additional services
Assist clients with development of hospitality plans, décor, and other production as required
Provide client with itemized cost estimates of venue related charges prior to the event and invoicing upon event conclusion
Other projects as assigned
Education, Experience and Skills:
Bachelor’s Degree in related field preferred. A combination of education and experience will be considered
5-7 years’ experience in Sports and Entertainment Management in a large venue
Proficient in AutoCAD, Microsoft Word & Excel
Must be skilled managing within a fast-paced and ever-changing environment, with a focus on safety, service and entrepreneurship
Highly organized, resourceful and proven ability to handle multiple projects simultaneously
Proven ability to build, maintain and foster positive relationships internally and externally
Strong negotiation, influencing and conflict resolution skills
Require ability to work flexible and extended hours, including nights, weekends and holidays, in addition to normal business hours
