The Director of Events controls and monitors the customer contact aspect of the facility operations by planning, monitoring, directing, delegating, controlling and managing the event coordination, media services, crowd control, telephone and outside contractor service functions; performs related responsibilities as required.
ESSENTIAL FUNCTIONS (including, but not limited to…): ?Assume management responsibility for all services and activities of the Events Division including the planning and directing of all facility events. ?Manage and participate in the development and implementation of goals, objectives, policies, and priorities of all event services and activities. ?Monitor and evaluate the efficiency and effectiveness of service delivery methods and procedures; assess and monitor workload, administrative and support systems, and internal reporting relationships; identify opportunities for improvement and review with the facility manager; implement improvements. ?Select, train, motivate and evaluate all event services personnel; provide or coordinate staff training; work with employees to correct deficiencies; implement discipline and termination procedures. ?Participate in the development and administration of the annual budget; assist in preparation of estimated revenues for facility budget; forecast of additional funds needed for staffing, equipment, materials, and supplies; direct the monitoring of and approve expenditures; direct and implement adjustments as necessary. ?Prepare and present staff reports and other related correspondence. ?Respond to and resolve difficult and sensitive inquiries and complaints. ?Maintains facility’s reputation for service. ?Make immediate decisions and communicate with users of the facility in an emergency situation. ?Maintain open communication between tenants, contractors, employees and public, by providing technical facility information and establishing an effective rapport. ?Plan, organize, and assign all day-to-day work assignments for event managers and event services department personnel. ?Review and recommend day-to-day operational policies and procedures for the department. ?Conduct planning, staff, and operational meetings as required insuring smooth coordination of activities. ?Meet with user groups to determine user needs and to explain facility capabilities and policies. ?Prepare, confirm, and issue service orders for users. ?Research, review, and recommend equipment, materials, and supplies required in providing event services and planning. ?Take part in reviewing and approving final billing to users prior to release of invoice. ?Assist in preparation of estimated revenues for facility budget. ?Assist in the implementation of all center ticketing and box office policies. ?Work with Media Services Manager to forecast and track media services revenue and profit margins. Maximize in-house media services utilization, and maintain the highest quality of these services.
?Provide excellent customer service assistance to internal and external clients.
Knowledgeable in all customer service and administrative procedures established by the convention center.
Skill in public relations, oral and written communications, public speaking, contract negotiations, program planning, and auditing.
Experience with modern and complex principles and practices of event services and coordination.
Knowledge of principles and practices of accounting and budget preparations and control.
Experience with supervision, training and performance evaluation.
Familiarity with principles of crowd management.
Familiarity with pertinent Federal, State, and local law codes and regulations.
Ability to demonstrate supervisory and leadership skills and a thorough knowledge of convention planning and related activities.
Advanced computer proficiency and Microsoft product knowledge, to include: Excel, Word, Outlook, Powerpoint.
