The City of Chandler Cultural Development Department is currently seeking qualified individuals to fill the full-time position of RENTAL & PROGRAM COORDINATOR. The City of Chandler offers an excellent salary and benefits package.
Job Location: Chandler Center for the Arts
Work Hours: 40 hours per week, variable hours including nights and weekends, as required
Classification Summary: The primary function of an employee in this class is to provide support and coordination of rentals, programs and event operations for the Arts Center Division. An employee in this class must be able to work varied hours including nights and weekends as required.
Essential Functions (non-exhaustive): • Responds to rental scheduling inquiries and provides information concerning facility usage policies, fire and safety codes, and available services; • Evaluates proposed event needs and prepares estimates and budgets; • Maintains accurate records for event management system; • Prepares rental contracts, riders, and settlements; • Oversees timely receipt of all required documents and payments; • Communicates event information and requirements to appropriate staff; • Creates materials for various programs, including program descriptions, event programs and scripts; • Utilizes ticketing software to manage registration lists for camps and field trips; • Processes check requests and reconciles receipts; • Communicates with parents, instructors, volunteers, and interns; • Maintains participation data required for grant reporting; • Assists in marketing promotions for rental program and community outreach programs; • Performs day of event duties for clients, merchandising, hospitality, gift shop, event set up, food and beverage management and special events at selected events; • Conducts surveys, compiles data, and reports findings on program effectiveness; • Increases rental revenues by identifying and cultivating new facility users; • Performs all work duties and activities in accordance with City policies and procedures; • Works in a safe manner and reports unsafe activity and conditions. Follows City-wide safety policy and practices and adheres to responsibilities concerning safety prevention, reporting and monitoring as outlined in the City's Safety Handbook. Essential Physical Abilities: • Sufficient clarity of speech and hearing or other communication capabilities, with or without reasonable accommodation, which permits the employee to discern verbal instructions and communicate effectively in person and on the telephone; • Sufficient vision or other powers of observation, with or without reasonable accommodation, which permits the employee to comprehend written work instructions and review, evaluate, and prepare a variety of written/typed documents and materials; • Sufficient manual dexterity, with or without reasonable accommodation, which permits the employee to operate standard office equipment and a personal computer; • Sufficient personal mobility, flexibility, and physical reflexes, with or without reasonable accommodation, which permits the employee to lift up to 20 pounds, to continuously stand or sit for an extended period of time, and to work in a theatre environment that involves walking throughout a 64,000 square foot building.
• Associate's Degree in Theatre Arts, Arts, Business, Accounting or related field;
• Two (2) years' experience in event coordination, theater management, or box office sales experience; and
• Any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work.
• Experience with Microsoft Office Suite;
• Experience with Archtics or similar ticketing software;
• Experience with Ungerboeck event management software or other facility scheduling software.
The position available is a regular full-time position and is subject to a six (6) month probationary period. A register of qualified candidates will be active for four (4) months should another position become available.
