The purpose of this class within the organization is to assist clients in coordinating meetings, conventions, performances and events. This class works under close to general supervision according to set procedures, but determines how or when to complete tasks.
This position will be expected to work a designated schedule established by the Department Head. It is also expected this position will work other and /or additional hours including nights, weekends and /or holidays as necessary or requested in order to accomplish departmental goals.
The functions listed below are those that represent the majority of the time spent working in this class. Management may assign additional functions related to the type of work of the class as necessary.
Strives to be efficient and effective at balancing and meeting the common needs and reasonable expectations of core constituents.
Contributes towards the department's mission by continuously striving to meet expectations, strategic goals and objectives.
Prepares responses to RFP's and estimates for potential events.
Meets with and assists clients and coworkers regularly concerning meetings, conventions, performances, and events.
Creates, maintains and updates an instructional manual with directions, diagrams, and charts.
Reserves the space (meeting rooms, Coliseum, Little Theater, Municipal Auditorium, ballroom, Grand Hall, etc.), equipment (tables, chairs, Audio Visual, utilities, freight, lighting, staging, etc.), and labor (police, paramedics, parking, ticket sellers, ushers, ticket takers, catering, security, etc.) for events.
Creates and presents ideas for clients to help make the event successful and best facilitate their needs.
Serves the general public whether they are attending events or setting up meetings, events, conventions, or performances.
Gathers and processes information to share with others including event set up details.
Rents equipment and materials to clients, inventories these items, and creates invoices for reimbursement; calculates space for setups.

Requires Bachelor's degree in business, liberal arts or related field.
Requires one years of event coordination experience or closely related experience.
Experience with concert production and trade show operations preferred.
