Purpose of Position: Under general supervision by the Senior Associate Athletics Director External Operations and Communications, the Director of Athletic Operations/Communications will provide administrative and organizational support to the Department of Athletics, including the scheduling of the facilities to accommodate all varsity team practices, home athletic competitions, and outside group reservations/rentals.
Duties include managing all home athletic events, athletic facility rentals, and the hiring, training, scheduling and supervising of all graduate assistants and student workers for athletic events. Duties also include preparation of information and media operations for assigned sport programs. Daily responsibilities include assisting with the overall operation of the Department of Athletics facilities and events which includes regular interaction with coaches, student-athletes, parents, alumni, and the general public.
Ensures accurate preparation and dissemination of information about Daemen's athletic teams using media releases, video content or personal contact, the daemenwildcats.com web site and social media platforms;
Coordinates game day coverage for media operations, including statistics crews for all home Daemen Athletics events
Ensures accurate compilation of reports, records and statistics for the NCAA and conference offices;
Assist in the maintenance and coordination of the following master schedules and databases for: Van use for team travel to practices and games: Van Maintenance Lumsden Gymnasium
All athletic events and individual sport schedules (Schedule Game Administrators for all home contests)
Direct the venue set-up and breakdown for all events, including but not limited to bleachers, scorer's table, securing of AV needs, concessions and ticket table needs;
Ensure proper administrative oversight for all home events in the sports of Women's Volleyball, Men's Soccer, Women's Soccer, Men's Basketball, Women's Basketball and Men's Volleyball.
In the event Daemen Athletics is hosting an athletic event off campus, the Director is to ensure proper administrative oversight and operational coverage per event and host institution policies/procedures;
Ensure adequate on-site supervisory oversight is in place for all facility rentals including, but not limited to camps/clinics; when the Director will not be present they will make appropriate accommodations for administrative oversight with the Graduate Assistant for Game Management/Operations;
Serve as a centralized contact for Facilities/Maintenance, Hallmark Dining, and Campus Security with the assistance of the Administrative Assistant for Athletic Operations;
Serve as centralized contact for ticket sales, ticket taking, and concessions.
Process and monitor purchase orders for concessions, facility and equipment maintenance, repairs and purchases and necessary follow-up;Monitor departmental budget
Supervise assigned Graduate Assistant(s) for game operations and game management responsibilities;
Facilitate, design and implement special events and in-game promotions;
Facilitate ARMS software for Camps/Clinics and oversee Olympic Camp including but not limited to design and implementation of Olympic Camp.
Facilitate and supervise the hiring, training and scheduling of student workers through on-line system for the athletics front desk, facility, event and game management and supervise to ensure workers are assisting department with needed tasks;
Assist with the annual golf outing;
Faculty and staff are expected to maintain the confidentiality of all confidential and proprietary information (including but not limited to: student personal information, student grades, employee personal information, etc.), both during and after their employment with the College. Operates the program under the rules and regulations of the College, the NCAA, and the ECC; understanding that an employee can be suspended for a period of time without pay or terminated if found to be involved in significant or repetitive violations of NCAA regulations;
Performs other duties as assigned by the Director of Athletics.
General Description (% of Time):
40% Coordinate and facilitate facility use including College and rental use, including facility set-up for events and manage overall operations of the event
20% Perform assigned functions to successfully conduct department events, game promotions and initiatives
15% Hire, train, schedule and supervise facility student worker staff including desk staff, office staff, concession, ticket and game management staff
10% Monitor budgets, complete purchase orders, reconcile invoices, and perform functions related to concessions, ticket sales and facility needs
5% Initiate and process home and away game contracts for all sports
5% Assist in the Management and Operations of Annual Golf Tournament
5% Other duties as assigned.
Position is full time, exempt (salary), twelve month position. Some evenings and weekends are required. Flexibility to accommodate home events when needed.
This is a full-time position. Benefits are available the first of the month following the full-time employee's date of hire and include health, dental, vision insurance, and fully paid life insurance. Required Knowledge, Skills, and Abilities:
1) Working knowledge of Microsoft Office (Word, Excel, Access, Power Point, Publisher), NCAA software platforms and Google Docs; to include experience or understanding of data merge functions.
2) Ability to work non-traditional business hours.
3) Ability to receive telephone calls, respond to inquiries and communicate with others by telephone.
4) Knowledge of computer software applications.
5) Knowledge and interest in athletics.
6) Ability to drive a personal or college vehicle for the purpose of college business on a regular basis.
7) Office management skills with the ability to work independently and accept responsibility.
8) Excellent organizational skills with attention to details.
9) Ability to prioritize tasks and ensure timely completion as assigned.
10) Strong verbal and written communication skills.
The functions of the position usually performed sitting, but may require some amount of time standing. Some amount of stooping, kneeling, bending, crouching, lifting, walking, carrying and other movements may be required. Tasks involving working on a typewriter, computer keyboard, computer software applications, calculator, cutting, labeling, and taping involve extensive wrist and hand movement. All individuals are required to be able to perform these movements without significant risk of injury to themselves or others.
Bachelor degree in a related field with required certifications, master's preferred.
Experience working in intercollegiate athletics at an NCAA Division I, II and III.
Must work cooperatively and collaboratively with all department personnel and all other members of the campus community.
Ability to multitask, effective communication and time management skills, accuracy and attention to detail is essential.
Additional Salary Information: NYS Minimum Salary for Exempt Employees: Currently $43,264, will go up to $46,020 as of Dec. 31st, 2019.
