FUNCTION We are seeking an enthusiastic and highly organized individual with strong leadership skills for our Senior Director of Events at Churchill Downs. This key position reports to the VP of Sales & Strategy and directly oversees the Event Team at Churchill Downs. Key job responsibilities include oversight of event planning and execution.
The ideal candidate will be able to provide outstanding structure and leadership to our events team in order to foster world class customer service both externally and internally with creativity and consistency. This role leads a team responsible for ensuring that client and guest needs are met in their event experience. The event team coordinates with internal and external partners to ensure details such as décor, catering, entertainment, transportation, location, special guests, equipment, and promotional materials are provided.
SPECIFIC DUTIES AND RESPONSIBILITIES. •Implement an overarching event service plan centered on innovative ideas and initiatives focused on creating a culture of exceptional customer service and continuous improvement. •Develop budgets, action steps, and timetables for securing resources and implementing plans specifically designed to standardize and enhance the overall customer experience. •Manage and develop team of full time event managers, part time and seasonal staff who take care of clients from the time a contract is signed to the time they leave the facility. •Create environment of incentives for success, continuous improvement and accountability metrics for event managers and seasonal event staff. •Ensures that internal departments are informed of all onsite events, understand the expected needs for each event and are prepared to meet obligations required for the successful event execution. •Cohesively work with other internal departments to author best strategies, procedures and opportunities for success. •Establish and maintain a process for all schedules, task assignments, equipment allocations, and other details needed to ensure all events are well executed and successful. •Develop a culture that is inclusive to the style and level of service Churchill Downs strives to achieve. •Responsible for driving customer/guest loyalty by delivering service excellence throughout each customer/guest experience. •Assist event managers in determining appropriate venues, food and beverage options, budget projections, required technologies, equipment, and materials needed to execute each event, as well as identify upsell opportunities. •Ensure prompt follow up with all clients through phone calls, emails and site visits in order to detail Event Orders and ensure customer satisfaction and cross functional department communication. •Work with internal departments to review, determine and document Best Practices for event load-in/set-up, space diagrams with various configurations and load-out/tear down operations. •Build a process/models for cost estimates for events of various size and type. •Utilize strong interpersonal skills to effectively communicate, resolve issues, and maintain professional relationships with all guests and key stakeholders •Negotiate agreements with outside vendors and subcontractors to ensure high quality and low cost objectives are met. •Utilize appropriate multimedia technologies and curriculum to educate, train, and evaluate CDRT frontline staff on the skills, attitudes, and customer service priorities determined by the organization. •Coordinate with Senior Director, Data Strategy and Analytics to develop policies and procedures that drive continual improvement in Net Promoter Scores derived from event experiences. •Interacting with food and beverage vendors to ensure the effective delivery of services consistent with group and organizational expectations. •Create and communicate post-event briefings that provide an overview of positive and negative aspects of each function. •Other duties as assigned.

EDUCATION, TRAINING, AND EXPERIENCE • Bachelor’s degree in hospitality management, business, sports management, marketing or other related field required. • 10+ years’ experience in event management preferably in hospitality or sporting events. • Knowledge of fire and public safety regulations. • Exceptional verbal and written skills. • Ability to create and communicate ideas / vision for various events. • Ability to multi-task and develop strong professional relationships in all aspects of the position. • Knowledge negotiating contracts, procuring vendors/subcontractors, conceptualizing and implementing small and large scale events, and driving the overall customer experience. • Leading teams in the support, execution, and fulfillment of various events. • Demonstrated experience developing, projecting, and implementing budgets and managing expenses. • Demonstrate knowledge in event production, including lighting, audio, video, facility rigging, industry terminology, event-related services and technical requirements for the types of events anticipated at the facility. • Extensive knowledge of Microsoft Office, proprietary, event and customer service software, and working knowledge of CAD software. • CRM Knowledge preferred. • Available to work varied shifts including holidays, nights, and weekends during the race meets and as needed throughout the year.
