Job Summary Provide administrative support for the athletic ticket office. Process ticket payments and deposit monies to University Bursar’s Office. Coordinate ticket office part-time staff (hiring, scheduling) and assist with serving as the liaison with donors and season ticket holders to UMass Athletics. Assist with bulk mailings, season ticket renewal process, and accounts payable and receivable functions. Assist in development and enforcement of policies/procedures for the athletic ticket office.
Essential Functions: -Process Athletic Department ticket deposits, including ticket related donations. Monitor ticket accounts on Peoplesoft to ensure they balance against Paciolan ticketing system. -Hire, train and schedule all student and part time employees for both office and event hours. -Assist in responding to customer ticket inquiries. This includes general ticket inquiries as well as season ticket holder and donor inquiries regarding re-seating, seating upgrades, away game ticket sales, and post-season ticketing. -Process ticket payments and fill ticket orders including but not limited to processing season and individual game tickets via phone orders, walk-up sales, and mail orders. -Maintain accounts receivable log and invoice parties as necessary. Work with athletic business office and vendors to ensure timely processing of accounts payable. -Oversee the communication, sales and fulfillment stages of the group sales process. -Create and organize post-event folders to include attendance, ticket sales and revenue, ticket deadwood, and player/recruit complimentary ticket pass lists. -Maintain a complimentary ticket log to ensure compliance with NCAA, Conference, and University policies. -Perform administrative tasks and provide support to the Ticket Office. Tasks include, but are not limited to: screen and direct incoming telephone calls to the appropriate parties, typing general correspondence and memos, processing and running reports, maintaining inventory of office supplies, ordering supplies as needed, and other materials as assigned. -Assist in developing, revising, and implementing the fiscal policies and procedures of the athletic ticket office. -Serve as the secondary person working with OIT and ticketing vendor (currently Paciolan) regarding technology aspects of the athletic ticket office. Perform ticket logistics related to transportation program to satellite home venues including seat assignment and financial reconciliation. -Assist in direct mailings of ticket renewals and solicitation of new ticket sales. -Supervise the Athletic Ticket Office and employees in the absence of the Director of Ticket Sales & Operations. -Strictly adheres to National Collegiate Athletic Association (NCAA) , conference, and University rules and regulations. -Attend conventions, conferences, meetings, training sessions as required.
Other Functions: -Perform other duties as assigned. -Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure) -High school diploma or GED required. -Experience working in a ticket office with sales experience. -Ability to administer pass list in compliance with NCAA rules and regulations. -Ability to work in a fast paced environment; ability to multi task and handle last minute problems and changes. -Ability to develop effective work procedures. -Excellent interpersonal, conceptual, organizational, and communication skills. -Knowledge of computer software programs such as Excel. -Moderate to high movement and activity required; job responsibilities require extended periods of standing. -Ability to lift and move up to 25 pound boxes of various ticket materials (ticket stock, cash boxes, envelopes, etc.) required.
Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure): -Experience with Paciolan. -Knowledge of NCAA rules and regulations. -Physical Demands/Working Conditions -Moderate to high movement required; extended periods of standing; ability to lift and move up to 25 pound boxes; some travel required.
Work Schedule
Monday- Friday, 9am-5pm. (37.5 hours per week). Evenings, weekends and holidays may often be required depending on responsibilities of the position.
